SETTING UP YOUR MAILBOX

Dial the access number for CallPilot Multimedia Messaging 7000 “Nortel CallPilot”.

LOG IN  At  the prompts, enter the following:

            “Mailbox”  XXXX (Your extension number).

            # key (stop)

            “Password”  XXXX (since most mailboxes have been set-up - the password needs to come from main office)

            # key (stop)

CHANGE YOUR PASSWORD

            Press 8 4

            Enter the old password (whatever main office gives you).

            Press #  (stop)

            Enter your new password (at least 4 digits).

            Press # (stop)

            Enter your new password again.

            Press  # (stop)

RECORD YOUR PERSONAL VERIFICATION

            Press 8 9 (“There is no name for personal verification at this address.”)

            Press 5 (Immediately say your first and last name and extension number).

            Press # (stop)

RECORD YOUR GREETING

            Press 8 2

            Press 1 (External Greeting)

            Press 5 (record)

            Press # (stop)

            Press 2 (play)

                IF NEEDED:

                        Press 5 while at the beginning of the greeting to re-record your greeting.

                        Press 7 6 (delete)

LOG OFF            83

 


Playing your messages

Your mailbox is set up to automatically play a message once you hear the header.

To stop playback of a message, touch # (stop).

To resume playback, touch 2 (play).

To replay a message header, touch 7 2.  (This will also give you a list of anyone who received a copy of this message.)

 

Use the top two rows of your telephone keypad to move quickly through your messages.

 

1 Skip backward in a message                                  3 Skip forward in a message

4 Skip back to previous message                               6 Skip forward to next message

 

 

Deleting/Restore Messages

 

To delete a message, touch 7 6.  This will tag message for deletion and move it to the end of your mailbox.

 

To “undelete” a message, touch 7 6 again when the message plays again at the end of your mailbox.

 

Once you have disconnected, all messages tagged for deletion will be removed.

 

 

Express Messaging

Express Messaging is used to share information in your office without ringing a telephone. 

To use Express Messaging, dial 7001.

“Express Messaging to mailbox” (enter the mailbox number you want to leave a message in followed by # sign).

“Someone’s name, extension XXXX, please leave a message after the tone.”

Leave your message and hang up.


SUGGEST GREETINGS

Away from your desk -

Hello, this is (your name).  I am unavailable to take your call.  Please leave your name, telephone number and a message and I will get back to you as soon as possible. If you need immediate assistance, during normal business hours, please PRESS "0" to speak to our receptionist.

This is (your name), and today is (day and date).  I am in the office today, but am unavailable to take your call at this time.  Please leave your name, telephone number and a message.  If you need immediate assistance, during normal business hours, please PRESS "0" to speak to our receptionist.

Away from the office for any length of time -

Hello, this is (your name).  I will be out of the office until (time and/or date).  If you need to speak to someone immediately, during normal business hours, please PRESS "0". Otherwise, please leave your name, telephone number and a detailed message after the tone and I will call you when I return.

Weekly updated greetings-

            This is (your name).  You have reached my voice mail for the week of (month & day).

 

1)  I will be in the office during regular business hours Monday-Friday.
OR
2)  I will be in the office (give specific days and times for the week).

Please leave your name, number and message. I will call when I return.  If you need help right away,  please PRESS 0 to speak with our receptionist.

TRANSFER

            To transfer a call to another extension:

            1.  Press Feature, 1.

            2.  Dial the extension that you want to transfer the call to.

            3.  Press Feature, 1 again.

CALL PICK-UP

To pick up another ringing phone with-in your call pick-up group:

            1.  Lift the handset.

            2.  Press Feature, 2.

FORWARD

Call Forward allows you to forward all of your calls so they ring at another extension.

To Forward ALL Your Calls:

            1.  Press Feature, 3.

2.  Dial the extension that you want to forward you calls to.

            3.  Press Feature, 3.

                                               

AUTODIAL

To store an autodial number:

1.  Press Feature, 4 or 5 (depending on which autodial you want to program).

2.  Dial the number you wish to store EXACTLY as it you were going to dial it.  Ex.  916166434600

3.  Press Feature, 4 or 5 again (depending on which autodial you’re programming)

To place a call using your autodial keys:

1.  Lift your handset.
2.  Press Feature, 4 or 5 (depending on which autodial you’re using)

LAST NUMBER REDIAL

1.  Lift the handset.

2.  Press your line key.

LINE

Use your line key to return to a caller that has been placed on hold, or to answer your line if it rings while the handset is off the cradle.

GOODBYE

You can terminate an active call by pressing the Goodbye key, or by hanging up the handset.  Goodbye is especially useful for disconnecting from conference calls and after using overhead page.

HOLD

By pressing Hold, you can put an active call on hold.  Return to the caller by pressing the Line key.

FEATURE

The feature key allows you to access features that have been programmed on your telephone set.

VOLUME BAR

 

The Volume Bar located just below the telephone key pad is used to control the volume of the handset and the ringer.  You may adjust the handset volume while you’re on a call, or if you don’t have an active call, lift the handset and adjust the volume of the dial tone.  You must adjust the volume of the ringer while the phone is ringing.   Raise the volume by pressing the RIGHT side of the bar.  Lower the volume by pressing the LEFT side of the bar.
