Important Phone Tips
To
initialize and open your mailbox for the first time:
Press feature 981 to access Call Pilot Voice Mail from any phone.
Enter your mailbox number (5 digit extension number), press # or ok.
Enter your password (check with main office for password), press # or ok.
Choose
a new password from four to eight digits long that does not start with 0.
Enter your new password and press # or ok.
Enter your new password again and press # or ok.
At the tone record your personal verification (name and 5 digit extension), then press # to end recording.
Press
# to accept the recording.
To record your greeting now, press 8 for mailbox options, then 2 for greeting. See below “record your greeting”.
Note: If you do not record a personal greeting, your name and extension (if recorded) will play to callers who reach your mailbox.
Press feature 981 to access Call Pilot Voice Mail.
Enter your mailbox number (your 5 digit extension), then # or ok
Press 82
Press 1
Press 1 (Primary Greeting)
Press 1 to record your greeting
Press # (stop)
Press 1 (play)
Press 2 to erase and rerecord
Press # to accept
Hang up or RLS to end.
Note: You must place your call from a touch-tone phone.
Enter feature 981.
Follow the voice prompts or the button options on your display telephone to open your mailbox.
To stop playback of a message, touch # (stop).
To resume playback,
touch 2 (play).
To reply to a message, touch 71.
To replay a message
header, touch 72.
To forward the message to one or more mailboxes, touch 73 and follow
voice prompt. You can record an introduction
to the forwarded message. Touch 79
to send.
When there are messages in your mailbox these commands are available.

If you need to call into Voice Mail after hours or when outside the office to retrieve messages and/or change your greeting etc., click here for instructions.
To delete a message, touch 76. This will tag message for deletion and move it to the end of your mailbox. To “undelete” a message, return to the deleted message and touch 76 to restore. You can only restore a deleted message while in Call Pilot session. Messages that are deleted cannot be retrieved after Call Pilot has ended. Messages that are not deleted are automatically saved.
To transfer a call to a mailbox from your phone:
Press feature 986
Enter the mailbox number, wait for display to show call transferred, and then hang up.
Press feature 984 to forward calls directly to your mailbox. This will prevent your phone from ringing and you from being interrupted, to cancel press feature 984 again.
To leave a message in some ones mailbox without ringing their phone:
Press feature 980 and enter mailbox number.
Hello, this is (your name). I am unavailable to take your call. Please leave your name, telephone number and a message and I will get back to you as soon as possible. If you need immediate assistance, during normal business hours, please press “0” to speak to our receptionist.
This is (your name), and today is (day and date). I am in the office today, but am unavailable to take your call at this time. Please leave your name, telephone number and a message. If you need immediate assistance, during normal business hours, please PRESS “0” to speak to our receptionist.
Away from the office for any length of time-
Hello, this is (your name).
I will be out of the office until (time and/or date). If you need to speak to someone immediately,
during regular business hours, please PRESS “0”. Otherwise, please leave your name, telephone number and a detailed
message after the tone and I will call you when I return.
Weekly updated greetings-
This is (your name). You have reached my voice mail for the week of (month & day).
1) I will be in the office during regular business hours Monday-Friday.
2) I will be in the office (give specific days and times for the week).
Please leave your name, number and message. I will call when I return. If you need help right away, please press 0
to speak with our receptionist.
TO MAKE AN OUTSIDE CALL:
Pick up the handset or press "HANDSFREE" dial 9, then the phone number.
Press "RLS" or hang up the phone when finished.
TO MAKE AN INTERNAL CALL:
Pick up the handset or press “HANDSFREE”. Press intercom and dial the 5-digit
extension.
LAST NO. REDIAL
Press "LAST NO." button (or "FEATURE" 5) and the last number you
dialed will be automatically redialed for you.
CONTRAST ADJUST
Press "FEATURE" *7
Press "DOWN" or "UP" (or the numbers 1 thru 9). Press "RLS" button when done.
RINGING TYPE
Press "FEATURE"*6
Press next (or the numbers 1 thru 4) until you find ring type that
you like. Press"RLS" when done.
RING VOLUME
Press "FEATURE"*80

HOW TO TRANSFER A CALL (non‑screened ‑
Blind Transfer):
Press the TRANSFER button or “FEATURE” 70 and dial the 5-digit extension number,
press "RLS" or hang up. Call is immediately transferred.
HOW TO MAKE AN ANNOUNCED TRANSFER
While on an outside call, press the "TRANSFER" button or “FEATURE” 70. Dial the 5-digit
extension and wait for internal person to answer and announce the caller (this puts the caller on hold).
Press "JOIN" to transfer the call or Press "RLS" button.
CALL PICK- UP GROUP
Press PICK-UP button (or FEATURE 75) to retrieve an incoming call ringing on another phone.
Note: You must be in the call group to be able to use this feature.
This will allow you to answer a call from another person's phone.
HOW TO VOICE CALL
Press "VOICE CALL"(or FEATURE 66). DO NOT PRESS HOLD
Dial 5‑digit extension number.
You will hear a tone, and then begin speaking.
If the person whom you dialed is on another call, your display will
say "On Another Call" and the called person's "INTERCOM" button will ring.
Press "RLS" button to cancel Voice Call command.
HOW TO FORWARD YOUR TELEPHONE TO ANOTHER EXTENSION
Press the "CALL FWD" button or ("Feature" 4).
Dial 5‑digit extension number.
To cancel forwarding, press "CALL FWD" button a 2nd time or
("Feature" 4)
